Salesforce Flow Best Practices: Enterprise Automation Architecture
Salesforce Flow has become the de facto automation layer across the platform – replacing Workflow Rules, Process Builder, and increasingly even Apex triggers for many use cases. But raw power without architectural discipline creates systems that are fragile, unmaintainable, and expensive to debug. After implementing Salesforce automation at enterprise scale for over 12 years, the patterns that separate stable production environments from chaotic ones come down to a handful of non-negotiable principles.
One Flow Per Object, Per Trigger Context
The single most impactful architectural decision you can make is enforcing a strict one-Flow-per-object-per-trigger-context rule. This means one Record-Triggered Flow on Opportunity for before-save operations, one for after-save, and one for each scheduled context – never multiple Flows competing on the same object and trigger.
When multiple Flows trigger on the same object in the same context, execution order is not guaranteed. Two Flows that each read and update a field on the same record will produce race conditions that are nearly impossible to reproduce in a sandbox. Consolidating into a single Flow per context gives you a single execution path, a single place to add conditions, and a dramatically simpler debugging story. Use Decision elements and clearly labelled paths within that single Flow to handle branching logic, not separate Flows.
Before Save vs. After Save: Choose Deliberately
Before-save Record-Triggered Flows run before the record is written to the database. They cannot create or update related records, but they execute in a single DML operation alongside the triggering record – consuming no additional DML statements or governor limit headroom. Use before-save for field updates on the triggering record itself: defaulting values, formatting fields, computing rollups from related data already in memory.
After-save Flows run once the record is committed. They can interact with related records, send emails, call subflows, and invoke actions. They cost DML and SOQL against your governor limits. The practical rule: if your logic only needs to update the record being saved, use before-save. If it touches anything else, use after-save, and account for bulkification accordingly.
Keep before-save and after-save logic in separate, clearly named Flows – for example with a _BeforeSave or _AfterSave suffix. This makes the execution model immediately visible to any admin who opens the automation inventory.
Preventing Infinite Loops Without Suppressing Logic
Infinite loops in after-save Flows are one of the most common causes of production incidents. A Flow updates a field, which re-triggers the same Flow, which updates the field again. The naive fix – a checkbox field called Flow_Executed__c used as a guard – introduces its own problems: it must be reset, and it fails in bulk operations where multiple records share the same transaction.
The correct approach is Entry Conditions scoped precisely to the data change that should trigger the logic. If your Flow should fire when Stage changes to Closed Won, set the entry condition to Stage equals Closed Won AND Stage has changed. Salesforce provides the Prior Value operator in Flow conditions for exactly this purpose. When used correctly, the Flow will not re-enter on a subsequent update that does not change Stage again – no checkbox required, no extra DML, no logic suppression.
Scheduled Flows at Scale
Scheduled Flows that process large record sets introduce risks that surprise many implementations. Salesforce batches Scheduled Flow interviews in groups of 200 records, and each batch is a separate transaction subject to all standard governor limits. A Scheduled Flow that queries related records in a loop will hit limits on batches containing records with large relationship sets.
Design Scheduled Flows with the 200-record batch size in mind from the start. Avoid nested Get Records elements inside loops. Where complex processing is required, consider whether a Scheduled Flow invoking an Apex action is more appropriate than building the logic in Flow elements. Always test against realistic data volumes in a full sandbox, not just a scratch org with five records.
The Subflow Pattern for Reusable Logic
Duplication in Flow is as costly as duplication in code. When the same logic – field validation, a notification sequence, a status transition – appears in multiple Flows, it creates a maintenance liability where a single business rule change requires hunting down and updating every instance.
Autolaunched Flows used as subflows solve this directly. Build shared logic once as an Autolaunched Flow with well-defined input and output variables. Call it from parent Flows using the Subflow element. When the logic changes, update one place and all parent Flows inherit the change. Treat any logic block that appears in more than one Flow as technical debt with a defined remediation path: extract it into a subflow within one sprint.
Documentation Standards That Actually Get Used
Flow documentation fails when it lives outside the Flow itself. Enforce documentation at the element level within the Flow canvas. Every Decision element should have a description explaining the business rule it encodes. Every Subflow element should note which business function it serves and what data it expects. Use the Flow Description field to record the owning team, last reviewed date, and a one-sentence summary of what the Flow does and why.
Establish a naming convention enforced by your deployment pipeline. A convention like [Object]_[Trigger]_[BusinessDomain]_[Version] – for example Opportunity_AfterSave_RevenueRecognition_v2 – gives any admin or developer full context from the automation inventory without opening the Flow.
When Flow Is Not the Right Tool
Flow is the right tool for record-driven automation, simple to moderate cross-object updates, guided user experiences, and scheduled batch operations on manageable data volumes. It is not the right tool when you need complex SOQL with dynamic filtering across multiple relationship levels, when you are processing tens of thousands of records in real time, or when business logic requires unit-tested code with deterministic rollback behavior.
Apex triggers remain appropriate for high-volume, high-complexity scenarios. The mark of an experienced Salesforce architect is not maximizing Flow usage – it is selecting the right automation layer for each requirement and documenting why that choice was made.
